DATUM STUDIO, Inc. (hereinafter the “Company”) is engaged in consulting, contract analysis, and system development related to the utilization of data. The Company recognizes that protecting the personal information of customers, business partners, employees, and other related parties is a significant responsibility. Therefore, based on its personal information protection philosophy and our own code of conduct, the Company is fully aware of its social mission. As such, it protects the rights of the individual and complies with laws and regulations regarding personal information. Furthermore, we hereby declare that we will establish a personal information protection management system to fulfill the policies outlined below and that we will make company-wide efforts to continuously improve the system while always being cognizant of the latest trends in information technology as well as changes in the needs of society and in the business environment.

  • For consulting, contract analysis, and system development related to data utilization, as well as for notifications concerning related seminars and other events (including e-mails if consent has been provided), contracts, and business implementation and communication
  • To respond to inquiries regarding all aspects of our business

(2)To confirm your identity, please send or hand carry one of the following documents together with the completed designated form.

●A copy of an official certificate such as a driver’s license or passport that confirms the identity of the person making the request. The certificate must display the name and address of the person making the request.
●A copy of the requester’s certificate of residence (if residing in Japan) that was issued within 30 days prior to the date of the request.

(3)If you are a proxy, please send or hand carry either (a) or (b) below in addition to the aforementioned completed designated form and the identification documents.

a) Identity verification documents of the proxy
●A copy of the proxy’s driver’s license, passport, or another official certificate that can confirm the proxy’s identity. The certificate must display the name and address of the proxy making the request.
●A copy of the proxy’s certificate of residence (if residing in Japan) that was issued within 30 days prior to the date of the request.
●If the proxy is an attorney, a document displaying the attorney’s registration number.

b) Document evidencing the right of representation (power of attorney, etc.)
●If your legal domicile is clearly indicated on the document proving your identity or that of your proxy, you may omit it.
●Documents proving the identity of the requester or his/her proxy will be disposed of responsibly within two months of submission to the Company.

2.Fee for requests and collection method

A per-request fee will be assessed only when notification or disclosure of the purpose of utilization is requested. The fee, which includes the cost of the reply from the Company, is as indicated below. Please enclose a postal fixed-amount money order to cover the fee when you mail the request documents (in Japan only).
●Fee: 1,000 yen (tax included))

3.Notification of review results

We will notify you promptly of the results of our internal review by one of the following methods.
●In the case of notification or disclosure of the purpose of personal information utilization, we will deliver written documents by regular mail or by hand.
●If you request correction, notification, deletion, suspension of use, erasure, or suspension of provision to third parties of your personal information, we will contact you by phone or e-mail.

We will respond to you using one of the following methods:
●The response will be mailed to the registered address of the requester.
●The response will be sent to the registered fax number of the requester.
●The response will be sent to the registered email address of the requester.
●The response will be delivered to the requester verbally by telephone.
